Please note: Volunteer benefits are provided to approved volunteers who complete their confirmed assignment. Meal vouchers are redeemable only at participating event food trucks and may be subject to menu or dollar-value limitations. Event access does not necessarily include a reserved spectator seat or unrestricted access to every event area.

2026 Volunteer Schedule

Available Event Shifts

Applicants may select Friday, Saturday or both event days. Final assignments, breaks and reporting instructions will be confirmed by the Williams Productions event team.

Friday, July 17

Setup & Competitor Check-In

Volunteer Report Time: 1:00 PM

The venue is available from approximately 2:00 PM–8:00 PM. Friday volunteers will report at 1:00 PM to meet the event team, receive assignments, organize materials and prepare for venue access and setup.

Assignments may include signage, event materials, athlete check-in preparation, staging areas, backstage organization and final event preparations.

Full Event-Day Shift

Volunteer Report Time: 6:00 AM

Event operations run approximately 7:00 AM–9:00 PM. Saturday volunteers will report at 6:00 AM for check-in, team assignments and final preparations before event operations begin.

Assignments may include athlete arrival, guest entry, judging, finals, awards, vendor support, backstage operations and post-event breakdown.

Partial-Day Support

Availability Reviewed Individually

Full-shift availability is strongly preferred, especially on Saturday. Applicants who cannot serve the full shift should list their exact available hours in the application.

Partial assignments may be offered when an applicant’s availability matches an important event staffing need.

Based on Event Needs
Important: Volunteer report times are earlier than the public event schedule. Approved volunteers must arrive on time, check in with their assigned team lead and remain available through the end of their confirmed assignment. Breaks and meal periods will be coordinated by event leadership.

Assignments are based on event needs, experience, availability and individual strengths. Applicants may indicate their preferred roles.

Event Setup

Help organize signage, tables, event materials, staging areas, vendor spaces and guest-facing displays.

Athlete Check-In Support

Help direct athletes, organize lines, distribute materials and support the official check-in team.

Guest Services

Welcome spectators, answer basic questions, provide directions and help create a positive first impression.

Ticket & Entry Support

Assist with line organization, ticket guidance, wristbands and front-of-house entry needs.

Backstage Support

Help approved staff maintain organization, athlete flow and communication within designated backstage areas.

Runner & Production Support

Help move approved materials, relay information and assist event leads with time-sensitive operational needs.

Vendor & Expo Support

Help direct exhibitors, identify booth locations and support the flow of indoor and outdoor expo operations.

Awards Support

Assist designated event staff with organizing awards and preparing items for class and Overall presentations.

Breakdown & Cleanup

Help restore event areas, gather materials and ensure the venue is left organized after the show.

  • Committed to representing the event professionally

Important Expectations

  • Complete the application accurately
  • Respond promptly when contacted by the event team
  • Wear the required event shirt and appropriate clothing
  • Keep restricted information and backstage areas private
  • Do not leave an assignment without notifying your team lead
  • Be prepared for a long, active event day on Saturday
Some assignments may involve extended standing, walking, lifting, outdoor conditions or working in fast-paced areas. Use the application to identify any limitations or accommodations the event team should consider when assigning your role.
